10-28-2010 %9ITA 03e qVW City of Las Cruces 1 PEOPLE NELPING PEOPLE 2 3 Minutes 4 LIBRARY ADVISORY BOARD MEETING 5 Thursday, October 28, 2010 6 7 1 Call to Order—President Diana Youngren called the meeting to order at 3.00 p.m. 8 Board Members Present: President Diana Youngren, Vice-President Ford Ballard, Secretary 9 Debra Rmdge; Members Ellen Young, Susan Fletcher, Robert Branshaw, and Terry Johnston. 10 Others in attendance were Public Services Director Lori Grumet and Library Administrator 11 Lynette Schurdevm. 12 2. Review of September 23, 2010 minutes. Corrections were made as to form and content. 13 Motion was made and seconded to approve minutes as corrected, motion passed. 14 1 Committee Report 15 a. Friends of the Library—The group is preparing for their book sale scheduled for 16 November 5th and 6th,the first date is for members only 17 b. Volunteers will be helping to serve refreshments at the 75th Anniversary program 18 on November 7th. The Friends have donated$500 toward the purchase of a cake, 19 $35 for the purchase of postcards that will be used for invitations, $650 to fund 20 the Peter Fletcher concert November 10th The Friends will be selling snacks at 21 both the Game Night and Movie Night scheduled for the 8th and 13th,respectively 1 I c. A Chautauqua is scheduled for November 1St at Good Samaritan, 7.00pm. 2 Attendance is expected to be high, according to the Friend's President Eileen 3 Monahan. 4 d. A memorial was held for Martha Lassiter,who prepared the Friends' Newsletter 5 Martha passed away suddenly last month. 6 e. Nancy Phillips is the new chairperson for the Books&More program. 7 2. Library Administrator's Report-In addition to the published Monthly Administrators 8 report, Lynette reported the following: 9 a. The donation box contained$41.22 for the month. Permission is granted to the 10 Friends of the Library to use the donation box for one month to raise funds for 11 celebrating the 75th Anniversary of the Library 12 b Catherine Chnstmann was featured in a"My Las Cruces"article regarding the 13 Teddy Bear Sleepover The reporter will also be doing a report on the history of 14 the Library The Las Cruces Bulletin will be doing a two-page feature on the 15 Library;they are soliciting area businesses to help pay for the presentation. Mr 16 Ballard suggested Lynette may wish to contact KRWG radio to announce the 75th 17 Anniversary schedule. 18 c. Preparations are ongomg for the 75th Anniversary program. 19 d. Lynette is working with the Director of Public Services to consider what items in 20 the budget, if any, can be cut to help the City meet its managed reduction goals. 21 e. The Library will participate in the NMSU Homecoming Parade. 22 f. Lynette attended her last Leadership Las Cruces training and will graduate from 23 the program on November 1901 2 I g. New Circulation Desk is in and Lynette is scheduling with Facilities to work on 2 the installation. 3 h. Sidewalk construction and landscaping between the Library and City Hall is 4 scheduled to commence November 4t' 5 1. January 7`"is the tentative opening date for the satellite library in Mesilla. 6 Logistics are still being worked out as to shelving, book transfers, work schedules, 7 etc. 8 j The start date on the Children's Wing construction will be determined Monday, 9 November 1St 10 3 Unfinished Business—none noted 11 4 Strategic Plan 12 a. Moving into the second half of the budget year, Lynette will be reevaluating the 13 Library's position in regards to the City's overall Strategic Plan. 14 b. Lynette is going over the Branigan Estate as it relates to the budget and income for 15 the Library Lon has had input from the Fire Department regarding lease 16 payment. 17 5 New Business 18 a. The Library is asking that the Board allow the Library to close Saturday and 19 Sunday, December 25 and 26th, and Saturday,January 1St, in addition to the 20 regular City holidays. Lynette will inform the City Manager of the approved 21 closing. A motion was made and seconded to close the library Saturday, 22 December 25, Sunday December 26 and Saturday,January 1, 2011,the motion 23 was approved. 3 I b The library staff party will be held December 17th The Board will provide a 2 snack tray for the event. 3 c. Access cards have been issued to staff for the rear entrance and the breakroom. 4 6 Announcements 5 a. Mrs. Johnston stated she has not seen the announcements for the Library Advisory 6 Board meetings in the newspapers. Lon commented that not all city meetings are 7 published in the community section of the newspapers,and that it would cost the 8 Library to advertise on its own. 9 b Mrs. Johnston noted that the Board meeting time is listed from 3.00 pm to 3.30 10 pm and it usually runs longer Lynette will have the agenda amended to state only 11 the meeting start time. 12 8.
