04-22-2010 DUM City of las Cruces 1 PEOPLE NELPINO PEOPLE 2 3 Minutes 4 LIBRARY ADVISORY BOARD MEETING 5 Thursday, April 22, 2010 6 7 1 Call to Order—President Ford Ballard called the meeting to order at 3.02 p.m. 8 Board Members Present: President Ford Ballard, Vice President Diana Youngren, Terry 9 Johnston, Pat Pedersen, and Robert Branshaw Others in attendance- Ellen Young, Lynette 1 o Schurdevm, Library Administrator; Lon Grumet, Public Services Director; and James Mitchell, 11 Administrative Assistant. 12 2. Review of March 25, 2010 minutes. Corrections were made as to form and content. 13 Motion was made and seconded to approve minutes as corrected, motion passed. 14 3 Committee Report 15 a. Friends of TBML- Friends met on April 21, 2010 Friends held a book sale at the 16 Downtown Mall on March 27`h and April P, and made $103 84 for the two days. 17 There will be another book sale inside the Library on April 30''and May I" 18 Current membership is 167, the Friend's Board would like to increase tins 19 number Budget for this year has been approved, money will be tight and ask that 20 all requests go to the City first. Bookstore sales were $1069 69, with a net gain 21 of$860 22 4 Library Administrator's Report-In addition to the published Monthly Administrators 23 report, Lynette reported the following: I a. Inspection will be made after Lynette comes back from training. Elise will 2 ensure all media and electronics are installed properly An opening Ceremony for 3 the new addition,tentatively named the Campo Terrace room will be held 4 sometime in May, maybe have public name room. The City's computer training 5 room has been moved to the New City Hall and that room can be opened up soon 6 for meetings. 7 b Dresp Computer room construction going well, working with Comcast on 8 cabling. Contractor should be able to meet the June 30th deadline with no 9 problem. Specific tables will be ordered for the room using GO Bond meeting. 10 c. National Library Week activities were mostly a success, with a staff appreciation 11 luncheon on Tuesday Library snapshot was done on Wednesday with 2000 12 patrons coming in, 52 reference questions, 4 children's programs with a total of 13 97 children, one adult program with 7 patrons, 1400 items were checked out, 14 issued 17 new cards, 255 people doing computer searches, 20 people did job 15 searches. These stats were forwarded to the State. Library tours were given and 16 snacks provided on Thursday Staff went out to community centers to celebrate 17 Dia de los Ninos. 18 d. RFID supplies are in. Installation will be in conjunction with replacing 19 Circulation desk. 3M will be in soon to train staff. Will coordinate with Baker 20 and Taylor to tag items in future 21 e. Lynette and 3 other staff attended NMLA in Ruidoso,NM. Attended core 22 competencies class, cross training will be done onsite. 23 f. Las Cruces Sun News is not delivering papers even though they have been paid 24 for This has impacted service to patrons, although staff has been going out I purchasing daily copies as needed. This has been ongoing for 14 days,up to this 2 date. 3 g. Packets were given to City Council Members on April 5`h to thank them for their 4 support and let them know what the different programs are at the Library 5 5 Unfinished Business 6 a. Collection from Board Members to purchase a book in memory of Jerry 7 Pendelton, father of Mark Pendelton, Outreach Coordinator for the Library,was 8 completed. The book will be purchased by Library Staff from Baker&Taylor 9 b. To help Board Members become acquainted with the New City Hall, Lon Grumet 10 will reserve a conference room for the Board's May meeting. 11 c. Strategic plan focus will be ongoing over the next few months. Staff will be 12 incorporating flus into their routine as well. Board to provide direction as to 13 which plan areas will be focused on at any given time, with input from Lynette. 14 6 New Business 15 a. Ellen Young,who will represent Council District 6,replacing Patricia Pederson, 16 beginning with the August 26, 2010 meeting, attended today's meeting to become 17 familiar with the Board members. Ms. Young has a life-long love of libraries and 18 welcomes the chance to advocate for the library as a board member The Mayor's 19 at large Board position remains unfilled. 20 b Landscaping will be done to help give a campus feel to the City Hall/Library 21 complex. Attendance at the Library will be enhanced by the policy wherein no 22 publications will be displayed at the City Hall. 23 c. A Parade Committee was formed and is making plans to enter a marching group 24 in the July 4`h parade. Dolores Telles will be heading up this committee. 1 d. Lynette Schurdevin will be looking into the formation of a committee to enhance 2 the Library's educational outreach in the community Lynette will focus on 3 enlisting the help of retired and active educators and librarians in Dona Ana 4 County to come up with objectives for this effort. Library is already partnering 5 with schools in such areas as Battle-of-the-Books. It was suggested that this effort 6 be advanced in the Fall when winter residents are in town. 7 e. Board elections were held for the 2 year period beginning with the May 2010 8 meeting. The appointments were made as follows. 9 Diana Youngren—President 10 L.
