04-25-2014 Committee Warehouse Meeting Friday, April 25, 2014 Present: Mark Johnston, Veronica Quezada, Joseph Anzivino, Todd Bensley, Candace Brown, Richard Clark, Victoria Delgado, Leeann DeMouche, David Dollahon, Sergio Esparza, Audrey Evins, Pat Gomez, Franco Granillo, Lisa Herrera, Eric Martin, Esther Martinez-Carrillo, Karen Medina, Lisa Murphy, Melissa Nelson, Cheryl Rodriguez, Sonia Saldana, Gabriel Sapien, Barbara Deleon, Brian Denmark, Victoria Fredrick, and Amber Vaughn. I. Introductions Employees introduced themselves and the Department they work for. Sub Committee was chosen based on employees experience with Big-Box or Warehouse implementation. The following employees with experience are: Todd Bensley, Franco Granillo, Pat Gomez, and Joe Anzivino. Mark would like to work with these individuals that have experience in warehouse production. II. Purpose of the Committee Mr. Denmark gave a brief update on why this meeting was put together. The City still has issues with purchases of supplies and materials. Ideas and thoughts are to have one centralized warehouse. This is just the preliminary stages and no decisions have been made officially on this process. For now as a starting point items that will need to be discussed are the operational processes for each individual department and implementation of SOP's etc. After discussions a proposal will be brought to Mr. Denmark and then shown to Mr. Garza on the processes and procedures to address the problems with supplies out in the field, so that the employee as well as the City does not get into trouble. Goal is to move this process along by upcoming fiscal year. III. Components, Objectives and Tasks Mark stated SOP's will drive us and focus on how we want to run this committee. The process should be a full 360 system, for tracking. Possibly using the new ID cards that were just issued and putting a bar code on them for use of purchase. In operational areas would like to eliminate operational expenses altogether and have them run through a warehouse system. Items and ideas that were discuss: • Committee will need to identify location options. Jobs will not go away once a location is determined. What would be the best location for all City Departments? • Leeann DeMouche explained in detail of how Pic Ticket works in MUNIS and the tracking system that Utilities is currently using. Todd Bensley, Victoria Delgado and Victoria Fredrick are familiar with the Pic Ticket system in MUNIS. • Mark would like Esther Martinez-Carrillo to think about the location if the records center would be the best location for the warehouse and come up with the best option. • Suggestion was made for the Pal Boxing center located directly behind the Aquatic Center. If that building would be the best fit for a warehouse and the basic needs of certain departments. • Possibly having the records retention under the warehouse process and centrally located as well. • Mark would like staff to think of a list of all the inventory items that any given department uses with in a given year. From cleaning chemicals, pens, pencils, rakes, shovels, etc Committee will need to agree on one type of product and having inventory consistency. Certain departments this may not work. Facilities Management, Airport etc will possibly follow warehouse process once determined and have off site locations. • Warehouse will be a 24 hour to run through Dispatch for emergencies and have them call out or create a work order for tracking. Overview: • Think of options on a site. • Think of what has worked and what is working now. • Need contact from Eric on LEED Buildings. • Think of supplies that you use on a given year. • Look at pricing agreements and adjusting to go through a warehouse system. • If anyone else that needs to be in this meeting please invite to attend for brainstorming process.
