II. REVIEW AND APPROVAL OF MINUTES FROM February 23, 2017 Ms. Duffy called for a motioned to approve the minutes from the February 23, 2017 Advisory Board Meeting. Mr. Vaccaro moved to approve the motion. Ms. Berrun seconded. All members were in favor. Passed 5-0. III. PRESENTATIONS AND REPORTS Executive Directors Report — Jennifer Bales — We have extended our lease with the CVB through March of 2018, our new building is scheduled to be up by fall of this year. We have now received management of the Rio Grande Theater and will begin a movie series, performances and with the help of Friends of Visit Las Cruces, jam sessions. A total of three staff members will be moving to the theater and once the venue manager is hired they will be housed there as well. The visitors center will be moved to the font lobby of the theater. Goal is to have the theater self-sustaining as a section of the City. We will be needing volunteers to assist with tours and concessions. We have applied for a liquor license which will take 180 days to complete, meanwhile we will be using a picnic license from local vendors. We have joined an association that will be able to route entertainment through the region. The theater will have their own website and will run a link from our website on July 1st. Will be working on using the same face book page or creating a new one to include an app. Opening weekend of the 8th I will be out of town at the DMAI conference which will be one of the last classes needed to receive accreditation. Country Music Festival went well and are currently considering a different venue as well as dates due to weather and attendance of the event. Sales Report — Ed Carnathan - Based on the sales report events to come and potential events are listed. Rochelle has been traveling quite a bit and Albert has landed the Tikawake conference which should be a good event booking close to 1,000 rooms. We are also working with travel writers in the surrounding areas to bring them through Las Cruces, have been writers from well-known magazines. National youth baseball congress is a new group, have had three events with them and they are doing well. USSSA global world series coming up, last Monday we are up to 116 teams and it continues to get bigger, doubled in our fifth year. Will have a fastpitch tournament end of July which is an 8 game guarantee. March ADR is 77.11 % which is up 1.5%. Occupancy is 66.7% up 5.1 %. Rev Par 51.83% which is up 6.6% April ADR 78.12% which is up 5.9%. Occupancy is 57.8% which is down 5.1 % Rev Par 44.14% which was nearly flat up .5% May ADR 75.60% down 1.7%. Occupancy is 59.7% which is down 1.1 % and Rev Par is 45.10% which is down 2.7%. Home two suites by Hilton will be opening off Telshor in September and they are taking reservations. Jen would like for Shannon to put together a report for next month's sales meeting about per diems and how they work and why it hurts us. Media Report — Chris Faivre — Provided three months' worth of website reports. Numbers are going up and everything is trending well, this is possibly due to the new website launch. We have recently applied for a google grant, after a long process we have initially been granted this grant. Due to the timing, we were going to use this for Country Music Festival but we are asking them to see if we can use this same grant for the CVB main website instead. The grant allows us to have $10,000 worth of free advertising with google. Final numbers for County Music Festival tickets sales were up 20% and revenue was up 47%. Our sponsorship with Pic Quick stores sold $1000 towards the end of the event. The app is now available for Visit Las Cruces, has very good features on it, where to eat, where to go etc. We have 1,000 downloads so far. Once we get the Rio Grande Theater up and running we will be building in self - guided tours and coupons in this app to include the events that occur at the theater. Would like to do elevator door wraps at the hotels with the app to promote. Update on visitors guides we are partnering within the Las Cruces Bulletin for new visitor's guides, they will be published the end of July, will hopefully have them out early August.
