04-13-1999FOURTH OF JULY CONE%UTTEE MEETING NOTES APRIL 13, 1999 MEMBERS PRESENT: JOE MARTINEZ, GEORGE NEWMAN, ERLINDA PORTILLO, FRED FRANK, ELDON CHERRY, RICHARD PARKA, ROBERT CALDWELL AND BARBARA LOPEZ - RECORDING SECRETARY ELDON AND FRED REPORTED THAT THEY HAVE 16 ENTRIES TO DATE. THEY HAVE RECRUITED PARADE SPOTTERS FROM A CADET CLASS. ELDON ASKED IF BANNERS FOR THE PARADE WERE STILL GOING TO BE PUT UP ON STREET LIGHTS. ROB RESPONDED THAT IT MAY BE TOO LATE. PATCHES FOR THE MAYFIELD HIGH SCHOOL BAND STILL BE TO BE ORDERED. GEORGE NEWMAN - MARKETING CHAIR, WILL DESIGN A LOGO. ELDON STATED THAT THE PARADE SPONSORSHIPS HE WAS TRYING TO GET THROUGH THE LAS CRUCES SUN NEWS ADS IS NOT GOING AS WELL AS PLANNED. HE ASKED IF COMMITTEE MEMBERS HAD ANY IDEAS. ROB RESPONDED THAT THE COMMITTEE IS STILL WAITING ON A MAJOR SPONSOR, THEN ALL SPONSORSHIP CAN BE WORKED ON AS A WHOLE. FRED PASSED OUT UP -TO -DATE PARADE DEVELOPMENTS. ERLINDA REPORTED THAT MAJOR ENTERTAINERS HAVE BEEN BOOKED. SHE SAID SHE WOULD STILL LIKE TO LISTEN TO DEMO TAPES /CD'S FOR GROOVE LINE AND BORDER TOWN FOR STREET FESTIVAL. SHE SAID SHE HAD RECEIVED SOME SUGGESTIONS FROM BOB BURNS - A JAZZ BAND CALLED HALLELUJAH. ROB WENT OVER THE LOCATION MAP WITH COMMITTEE FOR STAGES, STREET CLOSURES AND WHERE THE CARNIVAL WILL BE SET UP (THE FOURTH OF JULY COMMTITEE WILL RECEIVE 25 % OF THE PROFITS). ROB STATED THAT WE HAVE NOT RECEIVED PROPOSALS FROM BEVERAGES COMPANIES YET. THE FOURTH OF JULY COMMITTEE WILL RECEIVE 10% OF MERCHANDISE ENTERTAINERS SELL. VENDORS WILL PAY A FLAT $100.00 BOOTH FEE AND WILL NOT NEED TO PAY A PERCENTAGE OF SALES. TEN RV's WILL BE PROVIDED (ONE FOR FINANCE AND NINE FOR ENTERTAINERS). THE HILTON PROPOSAL WAS REVIEWED, THEY WILL NOT BE ABLE TO MEET OUR REQUESTS TO PROVIDE ROOMS FOR ALL THE ENTERTAINERS. HOTEL SPONSORS ARE NEEDED, RADIO STATIONS SHOULD BE CONTACTED FOR HOTEL SPONSORSHIPS AGAIN THIS YEAR. THE HILTON DID NOT INCLUDE A RECEPTION ROOM FOR THE LINDA RONSTADT RECEPTION IN THEIR OFFER, SO A DECISION HAS NOT YET BEEN MADE ON WHETHER THERE WILL BE ONE. ERLINDA WILL PROVIDE DRIVERS AND TRANSPORTATION FOR ENTERTAINERS. GEORGE WILL HANDLE MERCHANDISE TO BE SOLD FOR FOURTH OF JULY COMMTTTEE, POSSIBLY HATS AND SHIRTS. NO FIREWORK SALES ARE ALLOWED NO LOW LEVEL FIREWORKS ARE ALLOWED. MEETING WAS ADJOURNED.
