02-10-1999 fourth of July Meeting Notes February 10, 1999 Present: Eldon Cherry, Erlinda Portillo, Rudy Telles, Robert Caldwell and Barbara Lopez - recording secretary. Committee Members Absent: Richard Parra, George Newman, Joe Martinez and Fred Frank. There were no changes to ndtes from the last meeting. Status report was submitted by Fred Frank for the committee's review. High School bands have been asked to participate in the parade this year(more specifically the Mayfield High School Band and they will be paid$3000 to help them get to the Rose Bowl). They have been asked to wear a patch at the Rose Bowl recognizing the City of Las Cruces and the 150 ' Committee/Celebration. A theme for the parade has been chosen. There will be three announcing stands set up throughout the parade route. Announcing stands will be mentioning ad sponsors. A voice mail line has been set up. All parade communications will be made through this line (528- 3170). Sponsors for ads are being sought and 400 letters will be mailed out soon. A folder is being worked on containing parade information. Eldon and Fred will be retrieving phone messages left on the phone mail line and returning phone calls. Press releases will also be going out soon. An official request has been made to use the 150` Committee's entities for promotion of the Fourth of July Events. A request(listed below)was made to the City Council at a Work Session to allow Robert to negotiate and find a performer/performers for the stadium: #1 -A percentage of concert profits will be a fund raiser for the 150 'Committee. #2 - $200,000 will be set aside for payment to bring in a performer/performers. #3 -Authorize funds available if deposit needs to be paid up-front. #4 -A contract with entertainer has to be approved by Council Resolution. Linda Ronstadt, Emmy Lou Harris and Dolly Parton are performers being considered for the concert. Rob and Barbara Hubbard are working on this. There will be a two day street festival as part of the Fourth of July Events this year. There will be two or three stages set up. There will be a cultural and children's stage. Neimburg& Lerdo groups may be asked to entertain. The main stage will face east at the T-Ball fields. The teen stage will be set up at Maag Park and the cultural stage location has not yet been determined. Fireworks will be fired from the Hadley Area. Meerscheidt will be open for use of the bathrooms. The Committee will have concessions at Maag, Hardy and inside at Meerscheidt. A beverage company has not yet been decided on and the Fourth of July Committee will probably get a percentage of sales. The times for the street festival are tentatively set from 9:00 a.m. to 7:00 p.m. on Saturday, July 3'and 9:00 a.m. to 10:00 p.m. on Sunday,July 4'finishing with a firework display. Choreographed music for the firework display has not been decided. Rob will work with City electricians on whether or not it is possible. Ty Reese, a video vee jay for MTV is a possible performer for the teen stage. NBK will perform again this year. The Iguanas (country/tex-mex/rock group), Freddy Fender,New Riders in the Sky(old country), Otis Taylor(blues), Malo and Tierra are all possible entertainers for the street festival. Erlinda will be working on local entertainment. The cultural stage could include any type of music -mariachi,jazz, country, etc. The teen stage will be coordinated by Club Fusion personnel. Erlinda will coordinate stage crews for each stage. Rob stated that there will be paid City staff available for assistance. Rob has asked that the 150th Committee help with logistics personnel and advertising. Erlinda will also work on VIP areas. Rob suggested that each committee member be responsible for what they would like to do just keep him informed. Joe and Rob are working on sponsorship. There will be different kind of sponsors-"major", "parade/float", and possibly"venue". Rob stated that 50-60%of the house will need to be sold to recoup the $200,000 for entertainers at the Pan Am. The parade theme decided upon is"150 Years Under One Flag". Rob is also working on main stage and teen stage sponsors.
