05-18-2005 I Fourth of July Meeting Page 1 May 18, 2005 Fourth of July Committee v S Meeting Notes May 18,2005, 12:00 p.m. City Office Center, 575 S.Alameda Blvd. Members Present: Marcel Nicolitz, Chairman; Cyndi Rhodes; David Martinez; Tom Kellner Members absent: Richard Parra, George Jarden, Marla Ridgway Staff. Robert Caldwell, Ex-Officio; Letty Garcia, Recording Secretary. David Martinez stated that he talked to Kevin Key from Jack Key Motors and he will lend the Committee three cars for the parade. He will approach them about a$1,000 Sponsorship. Marcel Nicolitz stated that Jim Navarez will donate a tent for the staging area. Rob Caldwell asked if this was in exchange for sponsorship. Marcel Nicolitz stated that he was donating the tent. Rob Caldwell and Marcel Nicolitz will work on the layout for the event. Committee decided to accept Coca-Cola beverage sponsorship offer. Coca-Cola will give provide 20 cases of water and 20 cases of soft drinks. They will take the rebate off the total amount of the bill. Tom Kellner stated that Coca-Cola's offer was the best offer in comparison to Pepsi's offer. Sponsors are S&H, Wells Fargo, Comcast, Burger Time and Coca-Cola. Rob Caldwell will check with Wells Fargo Bank on their check. The check will come after the first of June and will be mailed to us. He will write a letter explaining how Wells Fargo has designated the funds to be spent. The letter will be given to the City's finance department so that they can see that the money is designated for the 01 of July. Rob Caldwell stated that if there any other sponsors that want to give us a check we could do the same thing for them. Rob Caldwell stated to the committee that they need to decide what they are going to do with the additional $3000 in sponsorship money. Fourth of July Meeting Page 2 May 18, 2005 Rob Caldwell suggested getting something for the public. $1,000 of Wells Fargo's and$500 Burger Times' monies will go to shirts. Committee agreed that the remaining $2,500 would be for public give-ways. Rob Caldwell stated that purchases would have to be on the city's credit card and could not exceed$1,000. Tom Kellner suggested purchasing shirts for sponsors in addition to committee shirts. Rob Caldwell suggested that committee shirts should be different from sponsor's shirts. Committee shirts will have Wells Fargo on them. Cyndi Rhodes will be in charge of ordering the shirts. Also Coca-Cola T-shirts will have the logo on the back of the shirts. Marcel Nicolitz stated that Lorenzo's would donate the pizza for the volunteers in the parade staging area. Vendor's packets have been mailed out. Tom Kellner suggested that Rob Caldwell ask Wells Fargo if they would put the parade entry form in their statements. Rob Caldwell stated that he would start radio advertising in about a week. Marcel Nicolitz will have a map for the staging area. David Martinez' wife will e-mail Letty Garcia the parade list. David Martinez will go over with Letty Garcia any changes to the parade packet. Rob Caldwell talked to Marla Ridgway and she will get volunteers to assist at the park. She just needs to know the number of volunteers needed. Marcel Nicolitz asked where are we using the Conquistadors? Rob Caldwell responded in the parade staging area and the judging area. Cyndi Rhodes will try and get 10 Conquistadors. Rob Caldwell stated that the city will produce a spot that deals with the parade. Comcast will produce a commercial promoting Buddy Guy, Tierra and the Street Fest. Fourth of July Meeting Page 3 May 18,2005 Rob Caldwell stated that he's waiting on a video from Buddy Guy that we can put into the spot and will also give to Comcast. Rob Caldwell stated that we will produce a flyer and place it on the web site. The parade entry form is on the web site. Buddy Guy has requested a Town Car and a 15 passenger van. Tierra has requested a 15 passenger van and a cargo van. Next meetings will be June 15, 22 and 29, 2005, at 12pm. Meeting was adjourned at 1:30 p.m.
