Members absent: David Martinez Robert Caldwell provided copies of- • 2004 Budget Review • List of sub-committee duties and responsibilities • Minutes from City Council Work Session of July 12,2004 Appointment of Committee Chair Committee members voted Marcel Nicolitz as the Chairman Sub-Committee Responsibilities Sponsorships: All Committee Members will be responsible for obtaining sponsors. Electric Light Parade: Marcel Nicolitz , David Martinez and George Jarden Volunteers: Marla Ridgway Vendors: Richard Parra and Cyndi Rhodes Advertising/Media: Tom Kellner and Cyndi Rhodes Logistics: Rob Caldwell and Marcel Nicolitz Discussion Rob Caldwell went over the City Council Work Session Minutes and pointed out the following suggestions that Council made for this year's Celebration: 1) No entertainment after the Parade. 2) Councilor Frietze does not like the location of the Celebration but the other Councilors seemed to be all right with the current location. 3) The Mayor suggested that in 2006 the committee should consider a new location for the Celebration. 4) The fireworks display should end the Celebration. F Fourth of July Meeting ® Page 2 February 09, 2005 Richard Parra stated that last year the parade was about 2 %2 hours late. Marcel Nicolitz said this year the parade would have better planning and control. Rob Caldwell stated that the Committee made a decision at the debrief meeting that they would not allow any walking entries or allow last minute participants. Rob Caldwell suggested that on the 3rd the entertainment should start no later than 10:00 p.m. and that on the 4th the Committee should look at starting our major entertainment at 8:00 p.m. and moving the fireworks display time to 10:00 p.m. Rob Caldwell stated that he would like to get guidance from the Committee on what levels of entertainment should be brought in. One suggestion is that we have a major act for the 4t'with a cost of about$25-$28 thousand and a semi-major act for the 3rd at around$5 thousand. This would mean that the Committee should consider spending $40,000.00 for all entertainment for the 2005 Celebration. The Committee approved this action. Tom Kellner suggested that on July 3rd they get the Big Band of Rio Grande. Rob Caldwell pointed out that staff overtime costs are not controllable by the Committee and that they should consider submitting to Council a budget that does not include staff overtime. Last year's projected cost for staff overtime was $20,000.00 and the actual cost was $35,744.59. Therefore the Committee should consider presenting to Council a Budget request that will include Logistics, Entertainment, Fireworks, and Production costs not to exceed $90.000. The Committee approved this action. Mr.Nicolitz asked the committee to come up with at least three themes for the Electric Light Parade by next meeting.
