02-14-2012 Fourth of July Committee Meeting Notes February 14, 12:00 pm City Hall Members Present: Marla Ridgeway, Christopher Cruz, Kathy Mesa, and Kari Shepan Staff: Robert Caldwell, Ex-Officio, Letty Garcia, Recording Secretary Robert Caldwell stated that for overseeing Beverage he would prefer to have at least two committee members. Robert Caldwell stated that there will not be a Baseball Tournament or softball Tournament this year because of the days of the week the celebration will be. Robert Caldwell stated that we need to get volunteers to assist with the parade. But maybe we could give them a quick training and give them shirts that say parade crew. Kathy Mesa also stated that the car clubs need to make sure that all lights are working before the parade. Committee will decided at the next meeting if they will allow car clubs into the parade. Committee voted Marla Ridgeway as Chair. Committee Members' responsibilities are as follows: Sponsorships/Entertainment All Members Electric Light Parade Christopher Cruz Vendors Relations Marla Ridgeway Volunteers All Members Beverage Kathy Mesa Advertising/Media Kari Shepan Robert Caldwell stated that at this time all Committee Members should assist in all aspects of the celebration. Robert Caldwell stated to the committee needs to follow the open meetings act. So what that means is the four of you can't get together out of the meeting and discuss Committee business. But two of you can or three. A quorum is four. We can also do it by email as long a not votes are taken. Committee decided to move the parade to Downtown. i Robert Caldwell said we need to coordinate with the Farmers and Craft market and the Merchants that are downtown and ask them to participate. The Committee set Vendor Fee at: Farmer and Craft Market $75, Parade$100 and Street Vendors $150. The judging stand would be in front of the old City Hall. Kathy Mesa asked about the rides and if they had contracted to do the rides for$1000. The Committee decided to keep the Rides Fee at $1000. Robert Caldwell asked if events would be the Electric light parade and the Street Fest. Operating funds for next year would include the Entertainment, Production and Logistics. Fireworks will start at around 9:30 p.m. Robert Caldwell stated he will go to Council with a resolution and telling them what the committee has planned for the celebration and the requested budget at $90,000. Robert Caldwell stated that the 4th of July Committee was established in 1987 as the Diamond Jubilee Committee to celebrate the 75th Anniversary of Statehood is the reason the Committee was established. Committee decided to start on July 4th at noon with activities, entertainment starting at 4:00 p.m. Fireworks display will be 9:00 or 9:30 p.m. Major act at 10:00 p.m. Robert Caldwell will get committee a list of the Entertainers. Next meetings March 7, April 4, May 2nd and 16th, 2012. Meeting was adjourned at 1:00 p.m. ´┐Żl LU
