05-02-2012 Fourth of July Committee Meeting Notes May 2, 12:00 pm City Hall Members Present: Chair, Marla Ridgeway, Christopher Cruz, Kathy Mesa, and Kari Shepan Staff: Robert Caldwell, Ex-Officio, Letty Garcia and Roseann Trujillo, Recording Secretary Committee Members approved minutes from the February 14, 2012 Meeting. Robert Caldwell stated City Council approved the Resolution to plan the Fourth of July Celebration. Also approved was the budget of$90,000 to fund the celebration. Robert Caldwell stated that the Parade and Vendor packets need to be revised so that we can distribute them. Robert Caldwell also stated that we need to start promoting the route change to downtown, that we will use the parking lot at City Hall, Main street will close at around 8:15 or 8:30 p.m. Parade route will processed south on Church to Water Street and end at City Hall. Deadline for returning the packets will be June 29, 2012. Chris Cruz informed the Committee that no cars/cars clubs will be allowed in the parade. Robert Caldwell stated that on the parade entry form participants should describe their entry. Example, (Is it a Truck pulling Flatbed, Horse drawn Trolley). The Committee suggested doing a separate page to notify the public of the parade route change. Robert Caldwell will ask GIS to do a map of the parade route. Christopher Cruz stated if we could maybe close the library parking lot. Christopher Cruz stated that he has two judges for the parade and is still looking for a Parade Marshal. Marla Ridgeway covered changes to the vendor's packet. Meeting for vendors' will be July 3rd at 3:00 p.m. in front of the Rio Grande Theater. Vendors fees: (Parade$100, Hadley$150, and both Parade and Hadley$250). Committee gave approval to Robert Caldwell to make an offer to Tracy Lawrence to perform for the 4d'of July. Kari Shepan suggested local band Bree Bagwell perform as the opening act on July 4th. Next meetings May 16`h, June 13`h, 20`h and 27`h, 2012. Meeting was adjourned at 1:30 p.m. Ck
