Hadley, Las Cruces, New Mexico. PARKS & RECREATION YOUTH BOARD MEMBERS PRESENT: Emma Christiano Jocelyn Contreras Cade Creason Annalise Edwards Elizabeth Furr Esther Heerema Susannah Jozwiak Nyasia Lambert -White Jonathan Lee Karen Melo Tanner Nielsen Sarah Rodriguez Miranda Romero PARKS & RECREATION YOUTH BOARD MEMBERS ABSENT: Katie Allbright Kaitlin Nicole Fitzherbert OTHERS PRESENT: Robert Nunez, Recreation & Youth Services Administrator Sonya Delgado, Parks & Recreation Director Martha Moreno, Recording Secretary The meeting was called to order at 5:32 p.m. by Vice -Chair Jonathan Lee and recognized the meeting as having a legal quorum. I. INTRODUCTIONS Board members introduced themselves and stated the school they represent. Staff introduced themselves and stated their position. II. CONFLICT OF INTEREST No conflict of interest. III. APPROVAL OF AGENDA Jonathan: Moved to approve agenda, seconded by Annalise. Motion carried unanimously. IV. Robert: Chair and board members last month meeting minutes are not complete and will be available for next meeting date. Jonathan: I move to lay on the table till the next meeting date, seconded by Elizabeth. Motion carried unanimously. V. PUBLIC COMMENT No comments. VI. UNFINISHED BUSINESS Name: Did we make any progress with the committees that we made at the last meeting? Robert: Chair and board members they have identified three (3) different committees last month: • Special Events • Social Media • Reaching Out to the Schools VII. NEW BUSINESS A. October Activities Robert: Chair and board members I'm aware of one event in October, "Toss No Mas" community engagement litter pick-up it is scheduled for Saturday, October 13, 8:00 a.m. to 12:00 p.m. and would like to ask of the board if we could reach out to clubs, peers, and the schools that you attend to organize groups for participation. They are also providing a luncheon from 12:00 p.m. to 2:00 p.m. at Young Park. Robert: I will send out more information through GroupMe. Asked the board members if they are receiving the GroupMe messages. Board members said yes, they are receiving the messages through GroupMe. Robert: There will be several harvest activities in October that we can help promote and possibility volunteering at some of these events. Nyasia: The downtown has the Zombie Walk that we could be a part of. Robert: Las Cruces Downtown Partnership is the organization that puts on the Zombie Walk event and there also an event that will take place October 31 at the downtown plaza, will send out more information on dates. Robert: The Zombie Walk is Saturday, October 27. Jonathan: Is there any comments on the Toss No Mas if there was anything they could do for the clubs, high schools and middle schools? 2 1 2 3 4 5 6 7 8 9 10 11 12 13 14 15 16 17 18 19 20 21 22 23 24 25 26 27 28 29 30 31 32 33 34 35 36 37 38 39 40 41 42 43 44 45 46 47 48 49 50 51 Susannah: Onate High School Key Club is participating in Keep Dona Ana County Beautiful like Toss No Mas they are picking up litter on side of the road, don't know the date. Robert: I will send out the date on Keep Dona Ana County Beautiful event. Emma: There's a club at my school called Torch Club and we help around the community, I can talk to the club and see if they would help. Robert: Chair and board members I will send a schedule of activities, dates, times, and place in two (2) weeks to the board. Jonathan: I move that we assign Public Relations Committee to spread the word out, seconded by Susannah. Motion carried unanimously. Jonathan: Who was on the Public Relations Committee? Robert: Susannah, Miranda, I will look at the notes to see who else was elected. Miranda: I'm part of bulldawg broadcast and we make short shows with commercials throughout the show. I mentioned that I'm part of this board and they would like to do a short segment. Would need to provide a short script. Robert: Would we be able do advertisement in your show about the Youth Board? Miranda: Yes, I'm sure my teacher would be on full board with that. Robert: I know that other schools have media. Susannah could check with Onate? Susannah: Yes. I will talk to Mr. Martin. Jonathan: Do we want to open this up through announcements, media and or clubs, key clubs, honor society? Tanner: I think we should because I belong to a club and we do community service. Robert: We also send out announcements to clubs and the student body at NMSU. Elizabeth: The Mayor's Top Teen's kids is participating in the Toss No Mas maybe we could pair up with them and get more accomplished has a group. Karen: I think the Mayor's Top Teen's do it more for publicity, I think we should do it differently. We are not out there for publicity we are doing it for more. Jonathan: Does anybody else have any comments on harvest fest, zombie walk, fall festival, etc.? I would like for the board to select one event at our next meeting in October to participate as a board. Jonathan: When we get the dates of events, then we can select an event to participate. Susannah: I belong to the Rotary Club and they need volunteers for the booth at the State Fair on September 29. If anybody is interested. Jonathan: If you have any other information send it through GroupMe. Robert: Chair and board members we could probably reach out to the Southern New Mexico Committee and obtain more information on setting up a booth. Susannah: I make a motion to start a committee for the State Fair, seconded by Tanner. Motion carried unanimously. Jonathan: Who like to be part of the committee? Robert: Susannah, Nyasia, Karen and Tanner. Jonathan: Asked the committee to meet and gather information on setting up a booth at the Southern New Mexico State Fair. B. Communications through the Middle & High School — Robert Nunez Robert: Chair and board members I met with Las Cruces Public School Community Outreach Liaison Ms. Brigitte Zigelhofer. We can disseminate information on the Youth Board, must go through each school's principal. She gave me a list and will set up meeting dates. C. Special Event Karen: What classifies as Special Event? Robert: Chair and board members possibly have an event quarterly to attract teens. (Bands, DJ's, Jumping Balloons, Dance, etc.) Jonathan: Does anybody have any ideas? Elizabeth: Something in the plaza, maybe a clich6 dance or jumping balloons. Sonya: Chair and members of the board so your trying to put together an event that the Parks & Recreation Youth Board can put together. Is this what this is about? Sonya: You will need budget dollars. You will need to give notice, so I may allocate funds, make sure that staff is available to assist. The plaza is a great place, its heavily used need to give much notice as possible for that space. Also, when the Parks & Recreation has a schedule event your welcome to be there you are part of Parks & Recreation. Mr. Nunez can provide that schedule and if you like you could add to that event or participate. We would meet to discuss what we can or cannot purchase. There are stipulations and regulations that we need to follow. Jonathan: So that sounds good, once we get these events more concretely then we can get the money plan out. Does anybody have any other ideas? Karen: I have one idea, it has been brought up from some of my friends. There use to be a DJ at the Skatepark. It wouldn't be just skateboarding it can be roller-skating, scooters, etc. Robert: Chair and board members there are specific requirements that are needed to have an event such as an agreement, insurance, etc. I will provide an outline of requirements for this type of event. Karen: Some of the individuals that go there (skatepark) don't participate in stuff like that, I feel it would be another thing, just an idea. Robert: Very good idea, thank you. Nyasia: There's a small skating ring possibility having a small event. D. Future Meeting Dates — Robert Nunez Robert: Chair and board members we need to set up some dates, times, place, etc. We need to schedule dates before the 3rd Thursday of the month, so we may present to the Parks & Recreation Advisory Board on their meeting date on the 3rd Thursday of the month. Jonathan: Do we have an existing log or list of members schedule. Robert: Chair and board members I suggest that you submit 2 or 3 day and time that you are available. Submit the information by Sunday, September 16, 1 will send options by end of day on Tuesday, September 18 through GroupMe. Sonya: Chair and board members you might consider utilizing Doodle Poll App for scheduling meeting dates. I will send the information to Robert and can assist. E. Parks & Recreation Advisory Board Update — Robert Nunez Robert: Chair and board members we will need to give a brief presentation/update to the advisory board each month, we are an extension of the advisory 5 1 2 3 4 5 6 7 8 9 10 11 12 13 14 15 16 17 18 19 20 21 22 23 24 25 26 27 28 29 30 31 32 33 34 35 36 37 38 39 40 41 42 43 board. They are very interested in knowing what we/you are doing out in the community. I will be asking our chair or vice -chair to give a brief update of what we are doing now and future. If they are not available, I will ask if there are any volunteers wanting to give updates. You are welcomed to attend the Parks & Recreation Advisory Board meeting, they meet on the 3rd Thursday of each month at 6:00 p.m. VIII. STAFF MEMBER COMMENTS Robert: Chair and board members I want to thank everybody that attended the Suicide Prevention Walk at Young Park on Saturday, September 8. I'm meeting with IT next week, so we may create our own Facebook page, Twitter, Instagram. We are utilizing the city of las cruces government page currently for social media. Sonya: Chair and members of the board I want to say, "Thank You" I'm very excited that we have a Youth Board. In the future we will bring forward projects for information or possibility for action. You are an extension of the department. Projects that are coming up: 50-meter pool, Gold Bond Projects that passed recently — construction projects on Hadley, Parks, Facilities, new facility constructed Sonoma area (East Mesa Sports Complex), CVB and other activities. You will have a voice with current programs/projects/activities: Music in the Park, Movies in the Park, etc. If you have any questions, you may contact Robert or me. Thank you and welcome!
