06-19-2001 Fourth of July Committee Meeting Notes from June 19, 2001 Present. Joe Martinez, Eldon Cherry, Bill Baird, Richard Parra, Mario Medina, Robert Caldwell- CLC Public Liaison Officer, Barbara Lopez-CLC Recording Secretary, Dr Lonnie Klem- Guest (LC Symphony) and Joel Cano-LCPD Absent: Curtis Rosemond Meeting notes from May 1, May 29 and June 5, were accepted. Parade Eldon has received 12 entries to date. Committee members have all made calls to past entries and will make follow-up calls if necessary Parade will take place around 9 00 p.m. and clearing of parking lot at Apodaca should begin around 6 00 p.m. All entries will come through Spruce and will terminate in back parking lot. Police Department will not have to man parking area at Sierra,dust help with clearing it out, there will be volunteers manning the parking lots. Streets should be shut down at 8 00 p.m. Press Releases will be put out on street closures. "No Fireworks" signage should be displayed and enforced. Police officers will be needed at the fudges stand on Solano, the main stage at 8 30 p.m., an officer stationed at the Finance trailer at all times, an officer to make runs with Finance employee and an officer stationed at each of the 3 beverage trailers. Beverage A group has been contracted to sell iced beverage product on the parade route. There will also be beverage sales from the trailers, $100 for a16 oz. fountain drink, $150 for bottled product. Richard requested one to three trailers in the vendor area. There will be a group manning the baseball concessions, they will get 100% of food sales if they choose to sell any, and 20% of snacks and drink sales. Street Festival Logistics - Mario said everyone has been contacted for equipment. Ice will be delivered at 1 00 p.m. on Tuesday, there will be about 200 sacks in the ice truck and can be sold to vendors at $3 00 per 40 pound bag of crushed ice. There should be a designated person collecting money for the ice. Set-up time for vendors is 1 00 p.m. on July 31, and set-up for main stage will begin at 7 30 a.m. on July 3' Three overnight security persons will be needed for VIP and firework area. RV's for VIP area will be delivered on Tuesday At least four generators will be needed. Seven radios are needed. A spiket for water at Meerscheidt is needed for vendors. Richard needs event schedules and badges to hand out at vendor meeting. Lonrue Klein has rented a charter bus to get the Las Cruces Symphony to the event. He also needs 20 parking passes. Equipment needs to be at the site by 6.30 p.m. He needs 80 chairs, water,risers and stands set-up by 7.00 p.m., and a security officer to guard orchestra equipment.
