05-29-2001 a Fourth of July Committee Me ti Meeting Notes May 29, 2001 Present: Eldon Cherry, Bill Baird, Mario Medina, Curtis Rosemond, Joe Martinez, Rob Caldwell-CLC Public Liaison Officer, Barbara Lopez-CLC Recording Secretary Absent: Richard Parra Parade Eldon feels that there is a problem with the parade. He has only received 4 entries out of 29 packets that he mailed out to interested parties who requested them. Joe stated that at least 30-40 entries are needed in the next few weeks. Eldon asked for this special meeting to be called because he wanted to ask the committee if they thought the parade should be canceled due to very low interest in participation. Rob stated that approval for the parade route change has to go to City Council, so the same process would have to be followed for cancellation and it is too late for that. He stated that what needs to be done now is for all Committee Members to help promote the parade. Eldon stated that staging an unsuccessful parade would be a disservice to Matrix Capital Bank, the community and the vendors. Eldon said that he feels that advertising would help. Rob stated that because of the commitment the Committee made to the radio stations that they would not pay for any advertising from anyone if the stations would give free advertising,then they should not pay for Sun News ads. Eldon suggested getting sponsor ads to pay for the advertising in the Sun News. Curtis stated that he met with Al Leumeyer and he said he would give the 41 of July Celebration coverage as long as the Committee wasn't paying for print ads. It was stated that the Bulletin may be more willing to give some print ads at no cost,but the Sun News is more effective. Bill suggested using the Sound Off. Rob said the posters promoting the Parade and Street Fest should be ready soon. Mario suggested placing at least 1 ad in the Sun News to promote the parade, and also that each Committee Member take entries from last year and make calls to solicit entries to the parade. Joe suggested that Rob and Curtis who are working on media promotion go to the Sun News and try to work out a deal for free advertising. Mario suggested they talk to Wendy. The following solutions were decided on to promote parade participation: • Eldon will mail out follow-up letters to the people who have requested packets. • Each Committee Memb r 11 make calls to past participants. • Rob and Curtis are gointo en -at-the Sun News immediately after the meeting.
