Please notify the Library at least 24 hours before the meeting at telephone number 528-4000 or TIT 528-4008. 1 2 THOMAS BRANIGAN MEMORIAL LIBRARY 3 ADVISORY BOARD MEETING 4 LAS CRUCES, NEW MEXICO 5 September 24, 2001 6 The September 24, 2001, Thomas Bramgan Memorial Library Advisory Board 7 meeting was called to order at 2 15 p in. Roll call was answered by Janie Matson, Dorris 8 Hamilton, Roy Fister, Melody Burns, and Paul Comeau. Also present was Library 9 Administrator Lon Grumet 10 ABSENT Steven Givens. 11 APPROVAL OF AUGUST 27, 2001, MINUTES 12 Corrections were made to the August 27, 2001, minutes. Page 3, lines 5 and 7, 13 Books Store was corrected to read Bookstore The minutes were approved as corrected. 14 OFFICER REPORTS Nothing to Report 15 COMMITTEE REPORTS 16 Friends of the TBML 17 Ms. Grumet reported the Friends had a long review of parliamentary procedures. 18 Problems with the membership roster were discussed. Expenditure of funds was discussed 19 due to some confusion regarding the spending of the Friends' money for printing and 20 copies. This problem was discussed and worked out by the members. Louise Foreshaw 21 and Pat Greathouse are working on a history of the Friends of the Library; approximately 22 20 copies will be printed. The Library will retain a copy and copies will be available for 23 purchase. I LIBRARY DIRECTOR'S REPORT 2 The Infomobile Staff has proposed to have a patriotic statement painted on the 3 Infomobile. Their idea is to paint artwork on the back of the bus consisting of the Organ 4 Mountains, crossed flags of the United States and New Mexico with a patriotic slogan. 5 This idea was originally proposed by Infomobile patrons. A draft will be presented to the 6 Advisory Board before any work on the bus is done. 7 The Library has been approached by the La Tuna Prison in Texas to provide 8 interlibrary loan services. After much discussion, the Board Members decided against tins 9 idea and recommended that the Brarugan Library look into providing a Consulting Service 10 to help La Tuna set up their own library service 11 The Thomas Branigan Memorial Library Staff has asked the Advisory Board's 12 permission to close the Library on December 22 and 23, 2001, for the Christmas holiday 13 The Advisory Board motioned and approved to close the Library on December 22, 2001, 14 and December 23, 2001, for the Christmas holiday Inquires were made as to whether the 15 Library will close early on December 31, 2001, for New Year's Eve. Ms. Grumet stated 16 that early closing has not been scheduled. The Board members recommended that the 17 Library close at 6.00 p in. on December 31, 2001 for New Year's Eve 18 Members asked if the Library will be closed on October 8, 2001, for Staff 19 Development Day Ms. Grumet informed the Board that on October 8, 2001, the Library 20 will be closed to the public Several programs have been planned for that day including 21 ADA training, which is mandatory for all employees, and the Fire Department personnel 22 will train Library employees on the proper use of fire extinguishers. Several speakers will I be present in the afternoon and videos on customer service will be shown. Molly 2 McGetnck will hold a presentation on Stress Management. 3 UNFINISHED BUSINESS 4 Recommendations to fill Board Vacancies 5 Ms. Matson informed the Board that she has written a letter to Councilor 6 Trowbridge notifying him that the Advisory Board is willing to advertise for a Board 7 member to fill the vacancy from his District. 8 Model Airplane Club Lease 9 Ms. Grumet has spoken with a member of the Model Airplane Club and has given 10 him the paperwork to present at their next meeting, and she is now waiting for feedback 11 from their new admimstration. When they return the paperwork, it will be presented to 12 the Board before it is sent to Council. 13 Quiet Title Suit Nothing to report. 14 Space Agreement for Book Sale Room 15 The Advisory Board was presented with the revised Agreement between the 16 Friends of the Thomas Bramgan Library and the City Ms. Grumet will send copies to 17 Juanita Stovall, President of the Friends, and Arlene Dohr who runs the fundraising 18 programs. If they concur, the Agreement will be sent to the Council. 19 NEW BUSINESS 20 The Whole Enchilada Fiesta 21 Ms. Grumet informed the Board of the difficulties the Library Staff encounters 22 during the Whole Enchilada Fiesta. The Parade ends at Johnson Park at noon. This 23 situation causes a great deal of difficulty on the Library parking lot. The Staff has I recommended that on Saturday the Library open at 1 00 p m. Alternatives were 2 suggested and discussed, the Advisory Board members stated their concerns for the 3 Staffs safety and considering the past problems, the Board recommends the Library open 4 at 1 00 p m. on the Saturday of the Whole .Enchilada Fiesta. The motion to open the 5 Library at 1.00 p m. on Saturday, October 6, 2001, was seconded and approved. 6 Amnesty for October 7 The Systems Staff has asked to grant an Amnesty Day for fines in October This 8 Amnesty Day would include fines only; it would not include replacement costs. The 9 Board members granted permission for an Amnesty Day in October with possibly another 10 Amnesty Day in April during Library Week. 11 Ms. Grumet related she will be attending an Employment Law Update training on 12 Friday, September 28, 2001, and on Wednesday, September 26, 2001, she will attend a 13 meeting in El Paso This meeting will discuss the formation of a regional archive, perhaps 14 one that is web-based. 15 ANNOUNCEMENTS None to Report 16 PUBLIC PARTICIPATION None to Report 17 ADJOURNMENT 18 The meeting adjourned at 3 12 p m.
