05-20-2002 G�Zo ©S 4"' of July Meeting Notes C�' "' J A S r W May 20, 2002 Present: Richard Parra, Curtis Rosemond, Tom Whatley - 2002 Committee Members, Rob Caldwell - Public Liaison Officer and Barbara Lopez -Public Liaison Assistant Beverage - Exclusive to either Coke or Pepsi, a letter was faxed and sent to both, requesting proposals so the Committee can review and choose one. Chair and Co-Chair were selected. Curtis Rosemond will serve as Chair, and Richard Parra will serve as Co-Chair. The following venues will be handled by each person below: Beverage - Curtis Rosemond Vendors &Entertainers- Richard Parra Tom Whatley- Logistics Rob and Barbara-Parade and all other aspects of celebration All Committee Members will assist with sponsors. Discussion was held about parade sponsors and whether it was too late to solicit a sponsor to award cash prizes. The Committee decided that they wanted to continue to award cash prizes so they will work on getting sponsors. Sam's Club and Triad were brought up as possibilities. Tentative Schedule for the 4" activities are as follows: Wednesday, July 3rd- Parade begins at approximately 9:15 with a 90 minute concert immediately following. Vendors will also be able to sell their products at the parade if they are parade vendors and Street Fest vendors can begin selling from their booths at the Street Fest site. Thursday, July 4h- Festival begins at 4:00 p.m. Proposed entertainment set at this time is Tower of Power, the performance will cost $20,000. Local bands are being sought for country,jazz, rock and variety music. Politicians were discussed. They may pass out information from booths at the Street Fest but they must pay the booth fee of$100.00. If they want to pass out information from a booth on the parade route they will also need to pay the vendor fee. A not-for-profit organization asked Rob if he could ask the Committee to waive the booth fee for a raffle ticket sale. The Committee voted "no" because then it would have to be done for other non-profit organizations. The Committee told Rob to suggest to them that they run a beverage WWI AL booth for the Committee and they can make a profit from there to help them pay their booth fee. Rob said he would present it to them. The Boy's and Girl's Club will sell glow ropes along the parade route for the Committee. A letter will be prepared and presented to potential sponsors of the "Electric Light Parade". Rodney and Phil Lathram have again submitted a request to present the "40,of July Big Blast Baseball Tournament" at Paz Park. The Committee voted to accept their request and hold the Tournament as part of the festivities. Rob informed the Committee that he has already checked and there should not be any conflict with the fields, they are free from June 29`h through July 8`h. Richard has made needed changes on the vendor letter, we need to add that they must contact the Environmental Improvement Division and get a permit before the event. The Committee will not contact a carnival representative this year, if the carnival vendor approaches them they will allow them to set up, but it will have to be in new location, Unidad Park is now where they used to set up, they will have to be moved to the corner of Solano and Hadley. The Hispano Chamber of Commerce has volunteered to help with parade or where needed on July 3`a and 4th. Barbara is going to contact Eldon to see if he would be willing and available to help with staging at Apodaca Park on the evening of the 3`a Meeting was adjourned. Next meeting is scheduled for June 10, 2002.
